DUTIES AND RESPONSIBILITIES
1. Assist sales teams on administration paper works.2. Make sales calls (sometime)3. Prepare proposal letters, contracts, thank you letters and other correspondence for clients.4. Prepare and submit weekly sales call plan based on a daily itinerary.5. Promote guestrooms, function rooms, F&B outlets, recreational facilities and other services of the resort.6. Establish good rapport with clients, entertain regular and prospective clients as directed.7. Solicit new accounts and increase market base of the resort.8. Ensure that monthly revenue targets are met.9. Attend resort’s social events and represent the resort in social activities and meetings as called upon.10. Coordinate with Front Office, F&B and other departments on guest requirements and reservations ensure guest satisfaction.11. Solicits feedback and suggestions from customers.12. Submit weekly/monthly sales/production report to the Sales Manager / Director of Sales & Marketing.13. Attend and participate in company/departmental meetings and seminars.14. Represent the Sales Manager / Director of Sales when required.15. Update the Sales Manager / Director of Sales of the current market trends and competition.16. Handling all rooming list and liaising directly with travel agent and reservation.17. To follow up on group payment policy.18. To follow up on cut off period for all room allocation.19. To co-ordinate with reservation directly on group arrival/departure and mode of payment.20. To communicate with Travel Agents/Reservation/Sales & Marketing on all details.21. To brief and update the upcoming group and go through the 30 days forecast for the following group.22. Issue standard introductory/quotation letter to client23. Check the function room book for space availability on both sides.24. Establish a trace date for cut –off, payment etc25. Keep track on any revision, additional room or meal requirement.26. Go through the check list27. Group coordinator to call for a group coordination meeting to ensure that all incoming groups are fully discussed between the relevant departments. The meeting will ensure a thorough process of discussion, and there being no mis- communication between sales and marketing department and the others28. Group coordinator to issue a thank you letter after every function to the organizer.
