Job Description

  • Administrative
    • Office management, decoration  maintenance
    • Develop  manage properly filing system  information  on  designed structure
    • Undertake administrative arrangements  any conferences, training, seminars  workshops
    • Manage  supplies,  equipment maintenance  other services, including maintenance  office vehicles  well  ensuring that sufficient  proper amount  inventory  supplies  consistently kept  an updated inventory  supply list  maintained.
    • Maintain  update  lists
    • Arrange appointment, receives visitors, places  screens telephone calls,  answers queries  discretion.
    • Draft format correspondence, appointment letters, reports, documents
    • Assist DED/ED  compiling  selection  staff recruitment process include post job announcement, prepare  received  job  prepare long list candidates, schedule writing test, interviews,  check reference when needed.
    • Staff leave Management tracking record  report
    • Make sure  security control such  all  keys, SIM phone  volunteers, fire extinguishers, generator, kitchen
    • Review  checklist  expiries  deadlines  MoU, Insurance, etc
    • Prepare monthly report, monthly timesheet,  take minute meeting
    • Make sure security  electricity  all  rooms  turned off  the room  locked after work
    • Prepare monthly fee payments  all  include electricity, water,  rent, internet, Security Guard, box- Post  ensure  bill paid  time.
    • Various administrative  and printing , scan  copy documents
    • General administration responsibilities (Register  all incoming  outgoing letters, labelling, registration)
    • Perform other administrative tasks assigned by  Director and/  Finance & Admin Manager.
  • Procurement
    • Evaluate suppliers  on price, quality, description  of good comply  equipment requirement.
    • Procurement worksheet analysis bid quotation (Analysis price proposals  order  determine reasonable prices)
    • Negotiate contracts  behalf  their organization
    • Work out agreements  suppliers, such  when products  be delivered
  • Administrative
    • Petty Cash  plan  monthly Report
    • Petty Cash keeping,
    • Reconcile petty cash advances

Position Requirements

  • Bachelor degree  public administration, management, finance, economic equivalent
  • MBA graduation preferable
  • A minimum four-year administration experience,  NGO(s)  an asset
  • Good knowledge  Excel Spread sheet, Microsoft Word, Email Microsoft Outlook  Designing
  • Practical experience pro-actively  admin management, secretarial task
  • Experience  car schedule arrangement, visa, passport arrangement  international travel arrangement
  • Strong communication  inter-personal skills
  • With  commitment  work under pressure
  • Good team player
  • Khmer  English proficiency  both writing  speaking.
